Information we collect and why

When you request a quote or contact us, we collect the details you provide, such as your name, email address, phone number, vehicle details, requested work, budget, timescale and messages. We use them to respond, prepare quotes and take steps at your request before entering a contract. We need sufficient contact and vehicle information to respond accurately; without it, we may be unable to provide a quote.

If you become a customer, we use your contact, order, payment-status and service records to fulfil our contract and support your purchase. We also keep information where necessary to meet accounting and other legal obligations.

We use correspondence and business records for our legitimate interests in administering the business, providing customer support, protecting our systems, resolving disputes and obtaining professional advice.

Where you choose to receive optional marketing, we use your contact details and preferences for that purpose with your consent. You can withdraw that consent at any time by contacting us or using the unsubscribe option in a marketing message. Requesting a quote does not itself mean agreeing to optional marketing.

Website analytics and advertising measurement

Google Analytics and Google Ads measurement are enabled by default unless a saved opt-out applies. OpenAI advertising measurement is disabled until you enable it through our cookie controls. Simply browsing this website does not constitute consent. You can turn off optional tracking and still browse or request a quote.

When enabled, Google Analytics helps us understand visits, pages viewed and website use. Google Ads measures adverts, calls and enquiries. With your consent, we also use OpenAI’s advertising measurement technology to understand whether ChatGPT advertising leads to visits and enquiries. Measurement can involve page and event information, timestamps, browser and device information, IP addresses and advertising or cookie identifiers. Where matching data is included in measurement events, this can include hashed email addresses or phone numbers used to associate an event with an advertising interaction. Hashing does not make personal information anonymous.

When Google Ads or OpenAI measurement is enabled, we retain campaign information such as the referring source, campaign, advert and landing page. When you submit an enquiry, available attribution information is attached to your enquiry and sales record so we can assess which marketing leads to enquiries and sales. A recorded source does not necessarily mean a paid advert was responsible.

You can change your choices through the website’s Cookie settings. Turning off all optional tracking stops future measurement by these integrations after the page reloads; it does not erase information already sent. Contact us if you also wish to exercise your rights over information already held.

Who receives information

We use Framer to provide the website and forms, Zapier to route enquiries between our services, and Pipedrive to manage enquiries, customer communications and sales records. TimelinesAI supports internal lead alerts and customer messaging through WhatsApp. Relevant information may also be handled by our email, messaging, quotation, accounting and hosting providers as needed to deliver their services.

Google receives measurement information while the corresponding Google tracking settings are enabled; these settings default to on unless a saved opt-out applies. OpenAI receives measurement information only when you enable its advertising measurement. We may also share necessary information with professional advisers, insurers, or authorities where required by law or to establish, exercise or defend legal rights.

International processing

Our service providers may process information outside the United Kingdom, including in the European Economic Area and the United States. Their published data-processing terms provide for recognised transfer safeguards, including Standard Contractual Clauses with the UK Addendum where required. Google also describes its participation in the UK Extension to the EU–US Data Privacy Framework. The safeguard applicable to a transfer depends on the recipient and location.

How long we keep information

Our cookie choice is stored for up to 180 days. Campaign attribution collected while Google Ads or OpenAI measurement is enabled is stored in the browser for up to 90 days; a later tagged visit may update it. Google Analytics cookies set by our current website configuration last up to 180 days. See our Cookies Policy for more information.

Information submitted with an enquiry becomes part of our business records and is not automatically deleted when a browser cookie expires. We determine retention by the status of the enquiry, our customer relationship, delivery and support requirements, applicable accounting obligations, and whether records are needed for a dispute or legal claim. We keep information only for as long as necessary for those purposes.

Your rights and choices

Depending on the circumstances, you can request access to your personal information, correction, deletion, restriction of processing, or a portable copy. You can withdraw consent where we rely on it.

You can object to direct marketing at any time. You can also object to processing based on our legitimate interests, on grounds relating to your situation.
